Anubhav is the postgraduate training logbook your medical college runs under the National Medical Commission's Postgraduate Medical Education Regulations, 2023 (PGMER-2023), which require every postgraduate student to keep a dynamic e-logbook. This notice explains what the logbook holds about you, why, who can see it, how long it is kept and what you can ask for. Your college is responsible for this data (the “data fiduciary” under the Digital Personal Data Protection Act, 2023); Anubhav is the software it uses to keep the record.
What is held about you
Every account: your name, email address, phone number, role, college, department and unit, and the times you signed in and acted in the app (the audit trail).
Students: also your registration number, batch, bio-data for the logbook (date of birth, MBBS college and university, year of passing, medical council registration number, permanent address, date of joining), your photograph and signature, and the training record itself: activities, procedures, postings, leave, monthly sign-offs, quarterly appraisals, thesis dates, certificates you upload, and the evidence files attached to activities.
Faculty: also your designation and rank, your signature image (printed on the months and appraisals you sign), and the reviews, grades and appraisals you write.
The logbook is a record of your training, not of patients. Activities carry a de-identified case reference only; the app refuses patient names, hospital numbers and other patient identifiers in that field, and nothing from a patient's record is stored.
Why it is held
To keep the logbook PGMER-2023 requires, to let your PG Guide and Head of Department review, sign and certify it, to produce the Logbook PDF the university examines, and to run the college's training programme (reminders, appraisals, eligibility for examinations). The legal basis is the college's legitimate purpose of running the training it is licensed to provide, and your enrolment or appointment in it.
Who can see it
A student's record is seen by the student, their PG Guide (and a Senior Resident reviewer where the college assigns one), the Head of their Department, the Dean and the College Administrator of their college, and, after the Head of Department certifies the logbook, an External Examiner the college names, for the examination period only. Bio-data is seen by the student and administrators.
Faculty details are seen by people of the same college in the course of their work; signatures print on the logbooks they sign.
The Platform Administrator, who runs the installation for the colleges on it, can see every record when needed to operate the service. Nobody outside these roles has access, and the data is never sold or used for advertising.
Where it is kept and who processes it
The application and its database run on a server the college or its provider operates, in India. Uploaded files and backups are stored with it; backups copied off the server are encrypted first.
Emails (sign-in details, password-reset links and account notices) are sent through an email delivery service, which handles your name, email address and the contents of those emails on the college's behalf. The college's installation names the service it uses; it is bound by its agreement with the college to use the data only to deliver the email.
How long it is kept
The logbook is the institution's record of your training and is kept, under your name and registration number, for as long as the college and university require. Personal data beyond that (email, phone, bio-data, photograph and signature) is kept for the retention period your college sets, counted from the day your course is completed or your account is removed, and is then erased automatically. Sign-in sessions last at most a few weeks; in-app notices are deleted after 90 days.
Your rights
Access: download everything the app holds about you, as one file, from your Profile page (“Your data”).
Correction: change your name, phone number, photograph, signature and bio-data yourself on your Profile page; ask your College Administrator to correct anything else.
Erasure: once your course is complete or your account is removed, you may ask your College Administrator to erase your personal data before the retention period ends. The training record itself stays, as the regulations require, under your name and registration number.
Grievances: raise them with your College Administrator or the college's grievance officer first. If unresolved, you may approach the Data Protection Board of India under the Digital Personal Data Protection Act, 2023.
